Team Management

In the DataPortal system, the team management functionality allows an Administrator to create user accounts, assign them roles and permissions, and organize the team structure within a company account. This enables secure and flexible task delegation as well as control over access to system data and resources.

Creating user accounts

New users can be added to the company account by the Administrator. To create a new user account:

  1. Select the Users tab from the side menu.
  2. Click the button available in the top right corner and select the New user command.
  3. Fill in the required form fields:

    • Login – a unique name identifying the user in the system,
    • E-mail address – used for system notifications, reports, and password recovery,
    • First and last name (optional),
    • Phone number used for sending SMS notifications (optional),
    • Permissions – determines the level of access (e.g. Administrator, Manager, Operator, Observer).
  4. Fill in the additional settings:

    • SMS notification – check this if the user should receive SMS notifications
    • E-mail notification – check this if the user should receive e-mail notifications
    • Language – select the user interface language,
    • Time zone – set the appropriate time zone,
    • Avatar – optionally add a user photo.
  5. Optionally, you can assign the user to selected projects in the system on the PROJECTS tab. By default, the Access to all projects option is enabled. If you want to restrict access to only selected projects, uncheck this option and then select the relevant items in the project tree.

Access to all projects for the Administrator

For the account Administrator, access to all projects is always active and cannot be disabled.

For the Operator and Observer roles, you must also specify a Default project, which will be launched after logging in. Optionally, you can also specify a Start screen if the system should open on a screen other than the default one for the selected project.

  6. Click the SAVE button to create the user — they will receive an e-mail with a link to activate their account.

Assigning and changing permissions

User permissions are defined through system roles. Each role has a defined scope of access and the ability to edit data.

The Administrator can change a user's role at any time, restricting or extending their access to individual projects.

To change a user's permissions:

  1. In the Users module, select the relevant person from the list.
  2. Click EDIT and select a new role from the drop-down list.
  3. If needed, define access to specific projects.
  4. SAVE the changes — the new permissions will take effect immediately.

Tip

The chapter User Roles contains more information about permissions.

Access to projects and resources

For more complex company accounts, user access can be restricted to specific projects. This allows team members to see only the data they need for their work.

  • The Administrator has full access to all projects and resources.
  • The Manager has full access to the projects assigned to them.
  • Operators and Observers can work on the synoptic screens and reports assigned to them (within their assigned projects), without the ability to edit the system configuration.
    • The Operator additionally has the ability to control executive devices from synoptic screens.
    • The Observer has view-only access to data – they can monitor the system but cannot perform control operations.
