Account management¶
The account is the top-level organizational unit in DataPortal. All of a company's users work within it, along with the company's projects, data sources, screens, reports and other resources. The Account details window brings together the company data, account settings, role permissions, application appearance (visual identity), notification settings and the list of users.
Opening the account details window¶
To open the Account details window, click the user avatar in the upper right corner of the top bar to expand the menu, then select Account.
The upper part of the window shows the account name and its description. Below them are four tabs: Info, Identity, Notifications and Users.
The following buttons are available at the bottom of the window, regardless of the selected tab:
- DELETE — deletes the account,
- EDIT — switches the window to edit mode, where you can change the account settings,
- CLOSE — closes the account details window.
Caution
Deleting an account cannot be undone. Before you delete it, make sure the data stored in the account is no longer needed.
INFO tab¶
The Info tab shows the basic account data, its settings, the permissions for selected roles and a summary of resources. The tab is divided into four sections.
Basic information¶
This section contains the details of the company that owns the account:
- Account class — e.g. Professional,
- Company — the full company name,
- Street,
- Postal code,
- City,
- Country,
- Tax ID (NIP).
Billing details
This data is used, among other things, to automatically fill in the billing details when purchasing inPoints.
Account settings¶
This section contains the parameters that define the account status and access rules:
- Active — shows whether the account is active,
- Expiration date — the date after which the account is no longer active (an empty field means there is no expiration date),
- Concurrent access (CAL) — the number of licenses that determines how many users can use animation mode at the same time,
- CAL limit change date — the date of the last change to the number of concurrent access licenses for animation mode,
- Export key — a unique key assigned to the account.
The SHOW ACTIVE SESSIONS button, located next to the number of CAL licenses, displays a list of sessions of users who are currently working in animation mode. This lets you check how many concurrent access licenses are currently in use and how many are still available.
Tip
The cost of CAL licenses is one of the account's cost items. You can check how the number of licenses affects the daily cost in the cost calculator.
Observer and operator permissions¶
This section defines additional permissions for users with the Observer and Operator roles:
- Animation mode only — restricts users with these roles to viewing screens in animation mode only. They have no access to the menu that would let them switch between the projects assigned to them or browse the available reports,
- Ability to change report range and download reports — an additional permission for users with these roles that allows them to change the parameters of a displayed report: the time range and the sub-periods (data granularity). The permission also covers downloading the report,
- Observer can place orders — an additional permission for users with the Observer role that allows them to purchase inPoints and view the orders they have placed,
- Operator can place orders — an additional permission for users with the Operator role that allows them to purchase inPoints and view the orders they have placed.
Each permission is marked with an icon:
- green check mark — the permission is enabled,
- grey cross — the permission is disabled.
Summary¶
This section lists the number of resources created within the account:
- Number of projects,
- Number of sources,
- Number of devices,
- Number of SIM cards,
- Number of reports,
- Number of screens,
- Number of tags,
- Number of notification rules,
- Number of placeholders,
- Number of placeholder groups,
- Number of users.
The summary gives you a quick overview of the account's size and usage.
IDENTITY tab¶
The Identity tab lets you adapt the appearance of DataPortal to your company's visual identity. These settings apply to all users of the account.
Logo¶
This section contains the graphics displayed in the application:
- Light logo — the version of the logo intended for dark backgrounds,
- Dark logo — the version of the logo intended for light backgrounds,
- Custom login — shows whether a custom login page is enabled for the account,
- Login page background — the image displayed in the background of the custom login page.
Custom login page
The Custom login option enables a custom login page with your own background and company logo. To activate it, add an image in the Login page background field and at least one of the Light logo or Dark logo fields.
The custom login page will be available at:
https://dataportal.online/#/login/account-name
where account-name should be replaced with the name of your account.
Color scheme¶
This section defines the colors of interface elements. Each color is shown as a button preview with a corresponding label:
- Application header and side menu — the color of the top bar and the main menu on the left,
- Window header and button color — the color of window title bars and buttons,
- Highlight color — the color of highlighted elements, e.g. confirmation buttons,
- Table and section header color — the color of table headers and section headers in windows,
- Header logo — the logo version displayed in the application's top bar, e.g. User's light logo.
Tip
When choosing the logo version for the header, match it to the header color — a light logo works best on a dark header, and a dark logo on a light one.
NOTIFICATIONS tab¶
The Notifications tab contains the Notification settings section, where you define the rules for sending text messages (SMS) and the recipients of system notifications:
- No SMS limit — shows whether sending text messages is exempt from the daily limit,
- Daily SMS limit — the maximum number of text messages that can be sent in one day,
- SMS sending block — shows whether sending text messages from the account is blocked,
- E-mail for system notifications — the e-mail address to which system notifications are sent,
- Number for system notifications — the phone number to which system notifications are sent,
- Notified user — the account user who receives system notifications.
Cost of sent text messages
Each text message sent is a cost covered by the inPoint balance. Setting a daily limit protects the account against an unexpected increase in costs, e.g. caused by an incorrectly configured alarm rule. A list of sent messages is available on the SMS tab of the billing module.
USERS tab¶
The Users tab contains a list of all users of the account. For each user, the table shows:
- Full name,
- Role — e.g. Account administrator, Manager, Operator, Observer.
You can sort the list by clicking the header of the selected column. The arrow next to the column name shows the sort direction. The magnifying glass icon in the upper right corner lets you search for a user in the list.
The checkboxes in the first column let you select one or more users. The checkbox in the table header selects all users in the list. Operations on the selected users are available in the ACTIONS drop-down menu above the table.
